Client Overview

Komatsu is a Fortune 500 company and one of the world’s leading manufacturers and suppliers of earth-moving equipment, including construction, mining, and compact construction equipment.

Komatsu Holding South America Ltda. is part of the Latin America Operation based out of Santiago, Chile.

Challenge

Komatsu Holding South America Ltda. needed a skilled and dependable planner in the USA to plan and execute their Dealers Field Day for 100+ attendees.

The yearly event takes place at a local distributor center during the Dealers Meeting, which is also attended by senior management from the company headquarters in Japan.

How we tackled it

Communication is key and in this case it was paramount since the client was not able to be physically present until the event day.

  • After reviewing the event’s goals and objectives, we laid out a strategy centered around educating the dealers about the new product line while reinforcing brand positioning, all within budget.
  • Safety was a big concern since we were dealing with heavy equipment demos.
  • We worked closely with our printing partner to design and produce all signage needed and carefully selected each vendor to bring the highest level of service.
  • We communicated to suppliers the client’s expectations in detail and ensured all requirements were met. We conducted site visits and liaised with the host venue on a regular basis to coordinate all logistical aspects. From collecting vendors COI to requesting the necessary permits for drone footage, we kept our client informed at all times.
  • On event day, we provided Spanish speaking staff to better accommodate the demographic of the participants and make them feel comfortable. We were onsite managing third parties in order to deliver a seamless experience to our client and her attendees.

Outcome

The event was very well received, and the goals were achieved. Attendees acquired the training needed while participating in hands-on activities and interacting with one another in a safe and relaxed environment. To this day, we enjoy a great working relationship with our client, and we have been producing Komatsu’s Field Day in the USA every year ever since.

We developed an event with distributors from Latin America in Miami, which included a demonstration of equipment and transportation of nearly 100 people. For this, we relied on Barbara and her team.

I can only say that, from the moment I met with Barbara the first time, I was confident that she is an excellent professional, who knows perfectly what and how to do, very focused on the client and able to deliver the standard of excellence that I needed.

Because of my position in Chile, the difficulty of remote coordination of each of the requirements increased. However, the professionalism of Barbara allowed that this was not an obstacle to carry out an excellent event.
