It takes a lot of planning and coordination to ensure that a trade show will be as successful and profitable as possible. Our goal for this event was to connect the dots early in the game on behalf of our client’s various departments, from sales and marketing to operations and finance.

• We became their eyes and ears on the ground, and we established proactive communication channels with all major players.
  A good understanding of the recently remodeled convention center was a must. We got involved with venue management right away by compiling and analyzing floor plans, event rules, capacity charts as well as reviewing meeting spaces specifications. We conducted numerous site visits to provide our client with first-hand layout options for the various program elements.
• On the vendor side, we used our knowledge and industry contacts in the field to plan and administer procurements by identifying suppliers best suited for the event, sending out RFPs, negotiating contracts and securing services.
• As the main point of contact for suppliers, we defined and tracked project deliverables to meet our client’s expectations.
  We coordinated floor plan creation and regular updates with the general service contractor, along with other logistical aspects of the show.
• Working with our security company, we designed a security plan on par with show management regulations and venue requirements.
• We evaluated and selected food and beverage options based on the event design and budget for all of the different meal functions, from speaker’s breakfast to happy hour.
• We collaborated with the marketing team to produce the necessary event related material and collateral. We oversaw the production of promotional merchandise and ancillary products, from branded USB to delegate tote bags, ensuring delivery on time and on budget.
• We also participated in the creation of the online exhibitor manual and the operations handbook. Additionally, we interacted with exhibitors, fulfilling their meeting room rental and other needs with the aim to provide a seamless customer service experience.
